Archie privacy policy
Archie is a case-management application for clinics that treat patients funded by third-party payers such as WorkSafe NB and motor-vehicle insurers. It is a business tool used by clinic staff. This policy explains what information the app handles and how we treat it.
Who this covers
Archie is provided to clinics (our customers). Each clinic controls the patient, case, approval, visit, and task records entered by its staff. We host and process that information so the product can work. The clinic is responsible for its own obligations to patients.
AI
We use AI tools to develop Archie. The app itself does not currently send any patient or case data to an AI or language-model provider. If that changes, this policy will be updated first.
Information the app uses
- Account details. Email address and password or other sign-in details, plus names and roles for users the customer creates.
- Patient and case records. Patient name and identifiers such as a claim number, referral and incident dates, payer and program, diagnoses, approval status and notes, visits, report due dates, and tasks.
- Contact details. Names and professional contact information for payers, referrers, and other people on a case.
How we use it
- Authenticate users and enforce the customer’s permissions.
- Store and display the clinic’s case, visit, report-tracking, and task records.
- Send daily or weekly email digests a user has chosen to receive.
We do not sell personal information. We do not use the app for advertising.
Where data is stored
Sign-in and cloud data are stored with our hosting providers, currently Supabase. Files the customer uploads may be stored in the same environment.
Sharing
We share information only with infrastructure and email providers that process data on our instructions, with people at the same clinic whose role allows it, and if required by law. We do not share one clinic’s data with another clinic.
Retention
We keep customer data while the customer’s account is active and as needed for backups, security, and legal obligations. Users should ask their administrator for access, correction, or deletion of business records.
Children
Archie is for business use and is not directed at children under 13.
